Policies for Participation in Yale College Arts Activities - Extracurricular

Arts activities are a vital part of student life in Yale College. In general, these activities are intended for enrolled students. In order to maintain equity in access to opportunity and College resources, and to protect the safety of participants in these activities, the following policies apply:

Extracurricular Arts Activities

Yale College students on leave may not participate in undergraduate extracurricular arts activities. In extraordinary cases where no qualified enrolled undergraduate is available, the Yale College Dean’s Office may consider requests for exceptions.  Exceptions must be approved by both the Dean’s Office and, in the case of faculty-led student organizations, the faculty member. If an exception is approved, the student will be notified in writing by the Dean’s Office. Please send written requests stating the reason for the exception to the Head of Undergraduate Production (kathryn.krier@yale.edu). Approved participants must sign and submit an Assumption of Risk form to Undergraduate Production or the Dean’s Office. Liability waivers may be downloaded here.

Yale University staff may not participate in undergraduate extracurricular arts activities beyond the scope of their job descriptions. In extraordinary cases where no qualified enrolled undergraduate is available, the Yale College Dean’s Office may consider requests for exceptions.  Exceptions must be approved by both the Dean’s Office and, in the case of faculty-led student organizations, the faculty member. If an exception is approved, the student will be notified in writing by the Dean’s Office. Yale College alumni and other individuals with no current formal affiliation with Yale University may not participate in Yale College extracurricular arts activities. In extraordinary cases where no qualified enrolled undergraduate is available, the Yale College Dean’s Office may consider requests for exceptions. Exceptions must be approved by both the Dean’s Office and, in the case of faculty-led student organizations, the faculty member. If an exception is approved, the student will be notified in writing by the Dean’s Office. Yale University graduate students may participate in Yale College faculty-led extracurricular arts activities at the discretion of the faculty leader. They may participate in student-led extracurricular arts activities provided they constitute less than 50% of the participants and no more than 50% of the production staff. Graduate students participating in undergraduate arts activities must adhere to all policies and regulations governing undergraduate arts activities and observe any additional requirements established in their own schools or programs.

Term Abroad Yale College students may participate in Yale College faculty- and student-led extracurricular arts activities.

Withdrawn students may not participate in Yale College curricular or extracurricular activities, faculty- or student-led.

If submitting a request for an exception, please allow at least 2 weeks for the review process. If your timeframe is more compressed than this, please plan to complete your project with undergraduate participants.
